What are email distribution groups? Groups (using the Google Group platform) are created by IT to assist you with sharing relevant work related information to a specific audience. Please review our two types of managed groups:
- The "All" email group
- Based on the organizational chart or a large related school activity
- Required to be a member of the group to send a message to the same group (with exception to students, only teachers and student leaders can send messages)
- Groups are not always homogeneous (for example there are supervisory teachers in student groups)
- The group email and display name starts with an "All" (see link below for examples)
- No access to outside users (with some exceptions, for example teachers can email student groups)
- The "Class" email group
- Generated from the timetable system (Blackbaud/"On" platform)
- Only the manager of that group (i.e. the teacher) can send messages
- Group email contains a course code and school year (i.e. ics4u-s-1-1819)
- No access to outside users
Two quick notes:
- Because how these groups are setup, it is not recommended to use the "All" groups for calendar invites as they are not always homogeneous. Check with IT first if you do try it.
- Although not problematic at a technical level, some consideration is needed when sharing sensitive documents using groups. Please use your professional judgement.
