How to Move Google Docs in Shared Folders (and Avoid Shortcuts)


Important Note: In most cases, only the owner of a Google Doc can move it within a shared folder. Editors typically cannot move files, even if they have edit access to both the document and the destination folder. This change occurred in early 2023. 


If you are the owner of the document:

  1. Right-Click and Move:

    • Right-click on the Google Doc.
    • Select "Move to."
    • Choose the folder you want to move it to.
  2. Alternative Method (Drag and Drop):

    • Click and hold the Google Doc.
    • Drag it to the desired folder.
    • Release the mouse button.


If you are NOT the owner of the document:

  • Request the owner to move the file: Ask the owner of the document to move it to the desired folder.
  • Make a copy: If you need the document in a different folder for your own use, you can make a copy of it and move the copy to the new location. To make a copy, right-click on the document and select "Make a copy."


How to Avoid Creating Shortcuts Accidentally:

  • Be Mindful of Permissions:  If you are not the owner, be aware that you may only be able to create shortcuts, not move the original file.
  • Double-Check: After moving a file, open the destination folder to confirm that the original document has been moved and not just a shortcut.
  • Communicate: If you're unsure, ask the owner of the document to move it or clarify whether you have permission to do so.
